Hire or Rehire Work-Study Student Employee
Important Notes:
To be classified as a Work-Study student employee, the student must be enrolled in at least 6 credits as an undergraduate or 5 credits as a graduate student as found in the Student Employment Policy section 3.2 here.
When hiring a Work-Study student a backup funding source is required but used for informational purposes only. Best practice is to ALWAY hire a work-study employee into a secondary assignment with non Work-Study funds in the instance their Work-Study award runs out before they are done working.
If the student is only hired into a Work-Study assignment and the Work-Study award runs out, Financial Aid will reach out to the department to separate the Work-Study position. If the department does not respond to the request, Financial Aid will separate the assignment and the department would need to hire the student again into a non Work-Study position.
Step 1: Log in to Campus Solutions
Begin by signing in to Campus Solutions from
Select the HR New ID & Student Hire tile from the Campus Solutions landing page.
Step 2: Select Hire New Candidate (Student)
From the left hand navigation, select Hire New Candidate (Student).
Read through initiation content and select Add to continue.
Step 3: Select the Candidate Hire Type
Select Work Study Student from the drop down menu.
Select Next.
Step 4: Enter the Student ID and Employment Start/End Date
Campus Solutions will populate next steps and instructions using the Candidate Hire Type selected in the drop down menu.
Read through the Campus Solutions instructions and input required information.
Enter the first day of work as the position start date.
If the employee starts work on a different date than the effective start date included on the hire form, you must submit a Change in Assignment Hire date to update their start date.
Because you are hiring a Work Study Student, you must indicate which aid/academic year the student will begin work and you will need to select Check Eligibility before proceeding.
If the student has not accepted their work-study award, they will not come up as eligible. Other reasons they may not show as eligible include less than half-time enrollment or a potential Satisfactory Academic Progress (SAP) hold.
If the student is below the credit limit for a Work-Study position, Campus Solutions will display a message indicating they are not eligible. If the student is not eligible for the position due to credit limits, hire them as a non benefit eligible temporary employee.
After confirming eligibility, select Next to move forward with the hiring process.
Step 5: Enter Hire Information
Enter the applicable information for this student hire.
The Candidate Hire Information section will pre populate based on information provided on the previous screen.
If you need to change any of the information in this section, select Previous to update details.
In the Candidate Hire Job Details section, select the type of work the employee will be completing from the drop down menu to the right of Identify the type of work that the student will be doing.
If you aren’t sure which option to select, visit the Student Employment Hire Classification resource for a list of Work Types and related Titles.
After selecting the type of work, select a title from the drop down to the right of Select the student's generic title. Once selected, the “Duties for this job may include” section will automatically populate with position duties.
After selecting the type of work and the title, enter the Hourly Wage and Estimated Hours/Week (Standard Hours) for the position. The hourly wage range for the selected job will populate above the Hourly Wage field.
It is helpful to make your hourly rate competitive. It is important and we encourage all supervisors to help make sure their work-study students are able to earn their full award amount.
After entering wage and standard hours, enter the following information:
HR Department Id (Example: "93908"): Enter or search for the 5-digit department number of the department the position resides in
Supervisor ID :Enter or search for the 9 digit employee ID number of the student’s supervisor. The person listed here will be included in the approval workflow for the hiring request.
Dept Manager ID: Enter or search for the 9 digit employee ID number of the department fund manager. If you don’t know who the department fund manager is, consult the standard approval workflow matrix.
Select Yes or No to the question Do you have a BroncoJobs ID#? If Yes, enter the BroncoJobs ID# in the field that populates. IF No, select the reason for not having a BroncoJobs ID3
Select Yes or No to the question Will this work be performed in Idaho? If No, enter the City and State the work will be completed in.
Funding information will automatically populate based on the award accepted by the student. Do not edit the information that populates in this section.
To add a backup funding string, select Edit ChartFields.
Enter the Fund, Department, Cost Center, Supplemental and Project segment details. If needed, visit the All Segment Values Report to determine the appropriate funding source.
In the % Distribution field, enter the % amount that should be allocated to fund string entered.
If needed, select the + icon to the right of the funding string to add another fund source. In the screenshot below, there are two funding sources for the employee position and each one will cover 50% of the employee wages each pay period.
In the Time Sheets Payment Method section select whether all hours worked will be paid to the set funding source/distribution OR if the student will need to select the hours allocated to different funding sources.
In the Background Checks section, select any applicable options for the position. If a background check is needed, please allow adequate time for processing. See Background Verifications (Policy 7005) for more information.
Expand the Approvers section of the hire form by selecting the caret to the left of Approvers. The Supervisor and Department manager entered in the steps above will automatically populate in the Approvers section. If needed, add the names of any additional approvers.
Step 6: Review Entry and Submit
Once all of the hire information is entered, select Next.
Verify that the information entered is correct and select Submit.
What is Next?
The hire will route through the appropriate approval workflow and once approved, the data will transfer into Bronco Hub, via data integration, and you can take additional action on the assignment you’re hiring (ie make changes to the start date or employee assignment).
