Edit, View or Withdraw an Absence for Another Employee
Important Notes:
Supervisors can edit historical absences 30 days before the current date; if you need to edit a historical time card or absence greater than 30 days old, submit an HR ServiceNow Ticket.
The instructions in this job aid are only applicable if the absence was originally submitted via the Absences section of Bronco Hub. If the absence was submitted via Time Cards, follow the instructions outlined in Edit or View a Time Card for Another Employee.
Supervisors only have access to approve time cards or absences for employees with active assignments. If an employee is separated mid-payroll, please enter an HR ServiceNow ticket for support with entering, editing or approving time and absences.
When submitting a ticket to HR, include details about the hours, dates and time reporting codes that should be entered and approved on behalf of the separated employee so HR can process the request with accurate information.
Step 1: Log in to Bronco Hub and Access Time Management
Begin by signing in to Bronco Hub.
Select My Organization from the navigation ribbon.
Select Time Management.
Step 2: Access Team Time Cards
Select Team Time Cards on the left side of the page.
Step 3: Search for and or Create a new Time Card
If the employee submitted their absence by creating a time card, use the search parameters to locate the time card.
If the employee submitted their absence via the Absences section of Bronco Hub, follow the steps below to create a time card. Once created, the absences will display in the time card and can be edited by you.
Select the plus icon to create a new time card.
Type the last name of the employee you are creating the time card for. If the name does not display, select the drop down arrow and select More to use advanced search. If the name of the employee does display, select their name from the drop down list.
Select a date that falls within the time card pay period. Only one date needs to be selected. Select OK.
If the system generates a message that states “A time card for this person already exists.”, use the Search fields located in the upper portion of Team Time Cards to search for the existing time card. Once located, select the pay period hyperlink to view time card details.
Step 4: Locate and Edit Absence as Needed
Once the time card is generated, any absences already created for that pay period will populate. Scroll to the “Days” matrix, within the Time Entry details, to edit, remove, or add absence entries.
To modify absence amounts, update the hours coded to the Absence time reporting code.
To remove ALL absence hours coded, select the row you'd like to remove and select the X to delete.
If needed, you can add absences by selecting the appropriate Time Reporting Code and entering the applicable number of hours and days associated with the absence.
You must save your changes before submitting the revised entries.
Select Save.
IF you edited hours and there are still entries on the time card select Next and then select Submit.
IF you deleted all entries and the time card is blank select Save & Close and then select Submit.
Step 5: Approve Updated Absences
After submitting the changes, the employee’s supervisor must approve the submission before the updates route to Payroll for processing.
If you are the employee’s supervisor, you will receive an email with submission details and can choose to approve the request via email.
To approve via Time Management, navigate back to the Time Management search fields, search for and select the time card row, then select Approve
Confirm the time card status displays Approved on the right-hand side of the screen.
What’s next:
The employee’s supervisor will receive an email about the absence submission.
The employee’s supervisor must approve the absence in order for it to be processed.
Once approved, the employee will receive an auto-generated email with absence details.
Approved absences route to Payroll for processing during the applicable pay period when the absence(s) will occur.
Note: Professional/salary employees reporting absences through the absence module will not have a time card generated in Team Time Cards. In these instances, the approved absences are transferred to Payroll without a time card.
