Review, Edit or Withdraw an Absence for Another Employee

Important Notes:

  • Supervisors can edit historical absences 28 days before the current date; if you need to edit a historical time card or absence greater than 28 days old, submit an HR ServiceNow Ticket.

  • The instructions in this job aid show how to edit an absence submitted via the Absences section of Bronco Hub or via Time Cards. Follow the instructions outlined in Edit or Review a Time Card for Another Employee for more information about editing timecards.

  • Absences that are not submitted and approved in time for the payroll (ie. the absence is not applied to the timecard) will not be calculated until the following payroll.

  • Holiday hours are automatically entered and approved for applicable benefit eligible employees.

  • View the instructional video for a demonstration on how to submit an absence. Begin at timestamp 03:35 to see an example of editing (partial day absence request).

  • Employees can correct or edit historical time cards and absences 30 days before the current date. If additional support is needed, or edits need to be made to time cards or absences greater than 30 days, submit an HR ServiceNow Ticket.

Supervisors only have access to approve time cards or absences for employees with active assignments. If an employee is separated mid-payroll, please enter an HR ServiceNow ticket for support with entering, editing or approving time and absences.

When submitting a ticket to HR, include details about the hours, dates and time reporting codes that should be entered and approved on behalf of the separated employee so HR can process the request with accurate information.

If you are editing or withdrawing an absence request for an employee that has time away from work entered under the Family and Medical Leave Act (also known as FMLA) or Workers’ Compensation contact Human Resources at hrfmla@boisestate.edu as soon as possible if the need is foreseeable.


Edit an Absence via the Absence Module

Step 1: Log in to Bronco Hub and Access Existing Absences (Team)

  1. Begin by signing in to Bronco Hub.

  2. Select My Team from the navigation ribbon.

  3. Select Show More and then select Existing Absences from the Absence section.

Step 2: Locate and Select the Employee

  1. A list of employees will appear. The filter autofills a list of direct reports.

    1. Filter employees by selecting the filter options beneath the Search bar:

      1. Reports: This field autofills to Direct Reports. Select the x for options to filter by All Reports, or Others and Delegated.

      2. Assignment Status

      3. Manager Type

      4. Show primary assignment only

      5. Worker Type

      6. Filters: Select this to see a pop-up sidebar with all the previously mentioned filters.

    2. Select the employee name.

Step 3: Review an Existing Absence Reqest

A list of the employee’s existing absence requests will appear. The filter autofills back 6 months, showing absences from that date forward.

Filter absences by:

  • Date by selecting the date filter to set the Start and End date.

  • Absence Type by entering an absence time reporting code (e.g. Sick) into the Search field.

  • Status by selecting the status filter button and selecting the status from the dropdown list.

Remove filters by selecting the X next to the filter or selecting Clear.

Step 4: Edit or Withdraw and Existing Absence Request

To edit or remove an absence, select Edit (pencil) icon to the right of the absence date.

Within the Edit Absence window, you can either withdraw the request or edit the entries.

Withdraw an Absence

  1. Select Withdraw to withdraw the entire request.

If the original absence request includes multiple days and you only need to withdraw some of the days/hours, make sure the Show Individual Dates toggle is selected and then select the edit (pencil) icon next to the day you wish to remove and select Delete and Submit. This will delete the individual day from the request.

  1. To edit the leave entry details, such as duration hours, select the Show individual dates toggle.

    1. Select the Edit (pencil) icon to the right of the absences.

    2. If needed, you can also select the Add button to add additional days to your existing leave request.

    3. After making the applicable changes, select Save.

    4. Select Submit in the upper right hand corner to route the updated absence request for manager approval.

Edit an Absence via the Timecard

Step 1: Search for and Review a Submitted Timecard

  1. If the employee submitted their absence by creating a time card, access the employee’s timecard:

    1. Begin by signing in to Bronco Hub.

    2. Select My Organization from the navigation ribbon.

    3. Select Show More and then select Team Time Cards from the Time section.

  2. Search for the employee timecard using any of the available search criteria.

Select the linked Period Start Date or select the checkbox next to the employee name and select the Actions button and either View or Edit from the drop-down menu.

  • The timecard will open for either reviewing or editing purposees.

Step 2: Edit Absence as Needed

Any data entered by the employee into the timecard will populate when you open the timecard for review. Make edits as you see fit.

  • To modify absence amounts, update the hours coded to the Absence time reporting code (e.g. Vacation).

  • To remove ALL absence hours entered for a code, select the row you'd like to remove, right-click, and select Delete Row.

  • If needed, you can add absences to a new row. Select the Assignment Number, then select the appropriate Time Reporting Code and enter the applicable number of hours and days associated with the absence.

Step 3: Save and Close or Submit the Timecard

To save the timecard and stay on the same page, select the Save button. 

To save and close the timecard, select the Actions dropdown arrow and select Save and Close.

To submit, select Actions and then Submit from the dropdown.

 

 

 

Step 4: Approve Updated Absences in the Timecard

To approve the submitted timecard, access

  1. Select My Organization from the navigation ribbon.

  2. Select Show More beneath Quick Actions.

  3. Scroll to the Time section.

  4. Team Time Card.

Easily approve by selecting the checkbox next to the employee’s name.

Select Actions and then select Approve.

Alternatively, the submitted timecard will be routed to the approver and can be approved via email and notifications in Bronco Hub.

Confirm the time card status displays Approved on the right-hand side of the screen.

End of Process

What’s next:

  1. The employee’s supervisor will receive an email about the absence submission.

  2. The employee’s manager must approve the absence in order for it to be processed. However, if you are the manager or delegated approver, and you submitted the edited request, you do not need to also approve it. Review the request status on the Existing Absences to confirm the status is correct.

  3. Once approved, the employee will receive an auto-generated email with absence details.

  4. Approved absences route to Payroll for processing during the applicable pay period when the absence(s) will occur.

If the employee submits a timecard, review the timecard to make sure the employee does not manually enter the same request on their timecard. The approved request will automatically load to the applicable time card.
