Sponsored Programs BvA Dashboard

Important Notes:

  • The Sponsored Project Budget v. Actuals Report (BvA) is designed to be the most accurate source of financial information for your sponsored projects, including forward-looking salary and fringe benefits encumbrances that have been submitted to HR and entered into Bronco Hub.

  • You are strongly encouraged to use this BvA instead of the Account Analysis Report (AAR) or Project Budgets and Expenditures (PPM).

This report is not available daily from 12:35 AM to 7:30 AM for data refresh.

Step 1: Locate and Launch the Dashboard

  1. Access Boise State Reporting Research and locate the Budget vs Actual Dashboard, Sponsored Programs Summary.

Boise State Reporting will display the reports in either a List or Card view.

  • Change your view by selecting either List View or Card View in the upper navigation.

  • By default, this report launches with the category filter set to “All Reports”. If needed, update the Filter by Category drop-down to view reports specific to one area of reporting

  • Favorite commonly used reports by selecting Favorite in card view and the star icon in list view.

  1. After locating the Budget vs Actual Dashboard, Sponsored Programs Summary, select Launch on the report card or Launch located on the right side of the report name if you’re in list view.

Step 2: Enter Report Parameters

  1. Confirm the report tab you are on is Sponsored Program Summary.

  1. To customize the BvA, use the dropdown menus at the top of the report to make your selections. Once you have completed your selections, make sure to select “Apply.”


Available search parameters include:

  • Award Department: The five digit Department awarded sponsored program funds.
    Award Number: The six-digit award number provided by the Office of Sponsored Programs.

  • Award PI: The individual listed (last name, first name) in the award document.

  • Project PI: Select your name from the dropdown to see all projects where you are responsible for the project budget, including as a Co-Principal Investigator.
    Project Number: The ten-digit project value included as part of the Funding Segment String to code financial transactions. ProTip! Search for multiple projects at once by entering a semicolon (;) between each project number (e.g. 2000000343;2000000745).

  • Award Status: Defaults to Active projects but can be updated to include Expired and/or Closed projects.

  • Project Status: Defaults to Approved but can be updated to include Closed (expired) projects.

 

  1. After entering search parameter details, select Apply.

 

In the popup window, include the name you want to give this customization. Then, make the customization your default by choosing the box “Make this my default for this page” and selecting “OK.”

Your selected customizations and associated data will load by default.

Step 3: Review Report Output

Project BvA by Award section will dynamically show the Award and Project count for the search results.

Result output includes the following:

  • Award Number

  • Award Name

  • Award Proposal Number

  • Project Number

  • Project Name

  • Project PI Name

  • Project Start Date

  • Project Completion Date

  • Project Fund: always start with 4010

  • Project Cost Center: is used to group transactions associated with a common financial activity.

  • Budget Category

  • Budget

  • Actual

  • Commitment

  • Available Amount

  • Budget % Remaining

  1. To review actual transaction details for the budget category, select an amount listed for the budget category in the table and select Actual for Budget Category.

  1. For awards to which you have access in Bronco Hub/PPM, you can drill into the “Award Card” from the Budget v. Actuals Report or the Master Department ID List by selecting the hyperlinked Award Number and selecting the “Drill to Award Card in PPM” link.

  1. To review the actual transaction details for the entire project, select the desired amount in the Actuals column and select Actual for Project.

  1. If needed, drill to additional results using available date search field options. You can manually input (m/d/yyyy) or select the Calendar icon to select the Pay Period End Dates, GL Accounting Date and/or Expenditure Item Date for the date range(s) you want displayed in the report.

  2. Leave the date fields blank if you want to see data for all the dates in the report:

  1. Select OK

  2. To review the commitment transaction details for the project, select on an amount listed on the table under the ‘Commitment’ column and select Commitment for Project.

Step 4: (optional) Export Results

  1. Export report output to Excel. Select the gear icon in the upper right-hand corner, select Export to Excel and Export Current Page or Entire Dashboard.
