Important Notes:

  • Benefit eligible employees are responsible for accurately recording their absences by submitting

time off requests via Bronco Hub Absences.
  • the requests to their supervisor for approval.

  • Benefit eligible employees can enter absence hours via time cards OR via Absences section of Bronco Hub as outlined in the steps below. If you are an hourly employee and you choose to enter leave via Absences, the leave will be added to the applicable time card. Do not submit the same time off in both areas of the system.

  • Benefit eligible employees accrue vacation and sick leave based on hours of service. Visit the sick and annual accrual leave chart for details.Hourly, benefit eligible, employees can enter absence hours on their time cards OR they can submit requests in advance in the Absences section of Bronco Hub. If the absence is entered via Absences, it will be added to the applicable time card.

  • Submitted absences, whether submitted via time cards or the Absences section, must be approved by the employee's supervisor before they can be being processed by Payroll.

  • Holiday hours are automatically entered and approved for applicable benefit eligible employees.

If you are requesting time away from work under the Family and Medical Leave Act (also known as FMLA) or Workers’ Compensation contact Human Resources.

2: Select or Assignment

Note

This step is only applicable if you have more than one active job. If you have one active job, skip this step.

If you have multiple assignments, you will see the Business Title field below the Type field. The value will default to All. Select the drop-down arrow to select the applicable assignment you are requesting an absence for. If you aren’t sure which one to select, ask your supervisor for assistance.

3: Select the Absence Type

Select the applicable absence Type from the dropdown menu OR type the Time Reporting Code (TRC) into the Type field. View a list of all available time reporting codes here.

4: Enter Absence Dates

Enter the Start Date and Duration and End Date and Duration for the absence.

Warning

Please note that your leave balance is rounded. Your actual absence balance may be marginally lower than what is displayed if it is rounded up.

If you encounter the following error, “You can’t record this absence because your balance for plan [Balance Name] will fall below the configured minimum for this type of balance.” it is because you do not have enough leave time to submit the request. Adjust your entry to an amount within your current balance.”, try reducing the absence duration by .1 and resubmitting.

5: Submit for Approval

  1. Enter any relevant information in the Comments field below reported absences. Comments are not required by HR Payroll but may be required by supervisor.

  2. Select Submit to route for approval.

Note

Reported absences will decrement from your absence balance as soon as you submit the request in Bronco Hub. Absence accruals occur the week of payroll processing once per pay period. The best place to view up to date leave balances is by following these instructions.

What’s next:

Once your absence is submitted, your supervisor will receive a notification to review and approve or reject your time card. You will receive an email after your supervisor takes action on your absence; if your request is rejected or sent back to you for corrections, you must edit and resubmit the leave request for approval and processing.

If you are an hourly employee, the approved request will automatically load to the applicable time card. DO NOT enter the same request to your time card.
