Supervisors can edit historical time cards and absences 30 days before the current date; if you need to edit a historical time card or absence greater than 30 days old, submit an HR ServiceNow Ticket.

Supervisors only have access to approve time cards or absences for employees with active assignments. If an employee is separated mid-payroll, please enter an HR ServiceNow ticket for support with entering, editing or approving time and absences.

When submitting a ticket to HR, include details about the hours, dates and time reporting codes that should be entered and approved on behalf of the separated employee so HR can process the request with accurate information.

Step 1: Log in to Bronco Hub and Access Time Management

  1. Begin by signing in to Bronco Hub.

  2. Select My Organization from the navigation ribbon.

  3. Select Time Management.

Step 2: Access Team Time Cards

  1. Select Team Time Cards on the left side of the page.

Step 3: Enter Search Parameters to Locate Time Card(s)

  1. Search for time cards using any of the available search criteria. Fields denoted with * are required and at least one field denoted with ** is required.

    1. Update the date fields to limit the results to a specific time frame or pay period.

    2. Search for time cards by status to ensure all time is submitted and approved by the deadline.

    3. If searching for a specific employee, enter their name in the Person Name field or their employee ID in the Person Number field. If you want to search for multiple employees at once, leave both of these fields blank and just search by date and status.

  1. After entering search parameters, select Search.

  1. All time cards matching the related search fields will populate below the Search Results section.

Step 4: Select a Time Card to View

Select the relevant row and select Edit and Approve to open the timecard in edit mode.

Step 5: Edit Time Card

All data entered by the employee will populate.

If the employee has multiple assignments, select the appropriate job from the Assignment Number drop down list.

  • Time Reporting Code indicates the type of time entry (e.g. Hours Worked, Sick, Vacation.). To view Time and Absence Reporting Codes, consult the Bronco Hub - Time Reporting Code resource.

  • Cost Center, Supplemental, Department, Fund and Project should always be blank unless time needs to be coded to costing that’s different than the employee assignment costing. Assignment costing can be viewed in the Active Employee Funding & Pay Report.

  • Business Title and Department corresponds to the employee role and department associated with the role.

To update hours on the existing time card, scroll to the Days section of the time card and update as needed.

Work-study students can only work 20 hours per week using work-study awards and should never override costing on their time card. If the student works more than 20 hours per week, hire them into two positions; one position that is work study funded and another that is non work-study funded.

Always confirm you are entering hours on the correct line. In the example above, line one of the time card is Vacation while line 2 is Hours Worked.

Step 6: Add a New Row for Additional Time Reporting (if needed)

Only follow the instructions in this step, if another row needs to be added to the time card for an additional reporting code.

  1. Select + Add Row Below button located in the Time Entry section.

  1. Select the appropriate Assignment Number from the drop down field. If an employee has multiple assignments, verify selection accuracy by reviewing the related Business Title and Department Name that populates after selecting the assignment.

  2. Select the Time Reporting Code dropdown and select the appropriate Time Reporting Code (eg Hours Worked, Sick, Vacation). To view Time and Absence Reporting Codes consult the Bronco Hub - Time Reporting Code resource.

You must select an assignment number before you can select any time reporting codes.

If the desired Time Reporting Code is not displayed, select the Search option to see all values or try typing the Time Reporting Code to get it to appear.

  1. Access the Days matrix and enter hours for each day.

Step 7: Review and Save or Submit the Time Card

  1. To save the time card and submit at a later date, select Save and Close in the upper right hand corner.

  2. To submit the timecard to Payroll, select Next. The Timecard Review screen will be display.

    1. If there aren’t any errors, select Submit.

    2. If you receive an error, correct the item as needed and select Submit.

If you receive an error and you’re unable to bypass it, submit an OCI Ticket for system support. Include details of the error message in the support ticket.

Step 8: Approve the Time Card

  1. To approve the timecard, highlight the appropriate timecard row that has a Submitted status, and select Approve.

  1. Confirm the time card status now displays Approved rather than Submitted.

What’s Next

  • The approved time card will route to Payroll for processing.

  • Any saved time cards must be submitted in order to route to Payroll.
