To outline the steps involved with voiding or refunding transactions on eCommerce / eMarket stores in Transact Campus.

Step 1: Access and Sign In to Transact Campus

  1. Follow this link to access the Transact Campus portal.

  2. Enter the following login credential details:

    1. Operator ID: This is a unique login identifier for individual users of Transact. Treasury assigns an Operator ID and associated permissions with New User Access Requests.

    2. Password: You will be prompted to create a unique password upon initial login. Treasury assigns a password with New User Access Requests.

    3. Station: The Station Code is “000”.

    4. Client Code: The Client Code is “BOISESTATE_PROD”.

  3. Select Login.

Step 2: Find the transaction to be voided/refunded

  1. From the Home Page, select the Find Transactions tab in the top banner.

  1. A Search Criteria window will appear. Search for the transaction using information you know. Common search fields include the following:

    1. Transaction No: The number of the transaction.

    2. Actual date: The date or range of dates on which the transaction was made.

    3. Amount: The amount that was paid.

  2. After entering at least one criteria, select Find.

  1. An output will populate in the Query Results, based on the search parameters you entered.

Select the transaction you are looking for by selecting the blue Transaction number associated with it.

Transactions in the Pending status, can be voided but not refunded.

Step 3: Voiding the Transaction (see Step 4 for Refunding)

  1. Once you open the transaction, you will see options to Void or Refund located below “Undo Actions”.

  1. If the Void button is greyed out and cannot be selected, hover your mouse over the Void button to see additional information about why the action cannot be completed.

  1. After selecting Void you will get a pop-up window asking you to confirm your selection.

  2. Select OK.

If the void is completed successfully, the page will update. The status of the transaction will change to Voided and a note will appear at the bottom of the screen describing who voided the transaction and when.

Step 4: Refund a Transaction

  1. Once you open the transaction, you will see options to Void or Refund located below “Undo Actions”.

  1. If the Refund button is greyed out and cannot be selected, hover your mouse over the Refund button to see additional information about why the action cannot be completed.

If you are attempting to refund a transactions the same day it was processed, you may not have the option to refund because the transaction has not processed via end of day reporting.

If this is the case, use the Void option rather than Refund.

  1. After selecting Refund you will get a pop-up window asking you to confirm your selection.

  1. Enter the refund amount in the Amount field.

    1. If you want to refund the full amount, you can select the Full Amount button.

    2. The Memo option is a message that will appear with this transaction in the future. Any memos will display in an emailed version of the receipt.

    3. You can choose to send an email to the customer using the email address that they entered to get their receipt. If you do not want to send an email, uncheck the box. You can edit the email address, what the subject line of the email will be and the contents of the body.

  2. After confirming details, select Process.

If the refund is completed successfully, a new transaction is created with the refund details and a note is added to the refund transaction with a link to the original transaction.
