Account Analysis Dashboard

Important Notes:

  • The Account Analysis Dashboard (AAD) provides transaction-level details from both the Budget and Operations ledgers.

  • The AAD does not replace the Account Analysis Report (AAR).

    • Starting in FY27, the AAR can only be used to generate historical (FY26 and prior) Budget ledger data.

    • The AAD must be used to generate Budget ledger data for FY27 and future years.

    • You can run either the AAR or AAD for Operations ledger.

  • When viewing original fringe budgets (account code 42000), include both the ORG and ADP budget types to see the complete original budget.

  • Local Budget Transfers/Adjustments are available for all budget types (i.e. one-time and permanent).

  • Refer to the All Segment Values report for a list of active fund, department, cost center, project and supplemental segments.

Step 1: Locate and Launch the Report

  1. Access the Account Analysis Dashboard.

If you need to request report access, submit an Access Request Form. When submitting the access request, include the name of the report and any other details that might be needed.

Step 2: Update Dashboard Parameters

In the left hand navigation, update the parameters for the data you are searching for.

Report parameters are:

  1. Fiscal Year: This field will default to the current Fiscal Year. Use the drop down to select the Fiscal year(s) to include in the results. Fiscal Years begin July 1 and end June 30.

  2. Ledger Name: Select the appropriate ledger, you can select both:

    1. OPERATIONS: Includes all operations related transaction including actual and encumbrance.

    2. BUDGET: Includes all budget related transactions.

  3. Fiscal Period: The default fiscal period is set to All.

    1. When running the Budget ledger, you must select All fiscal periods or select a FY as a fiscal period.

    2. If you are running the Operations ledger only, you can include all fiscal periods or individual fiscal periods.

Each fiscal period corresponds with a month of the year as outlined below:

  • July = 1

  • August = 2

  • September = 3

  • October = 4

  • November = 5

  • December = 6

  • January = 7

  • February = 8

  • March = 9

  • April = 10

  • May = 11

  • June = 12

If running the dashboard for both Operations and Budget ledgers, you must select the applicable fiscal years and fiscal periods from the Fiscal Period dropdown.

  1. Fund: The fund defaults to all. Select the applicable funds to display results you’re searching for. For example 1001 is Appropriated fund, 1009 is Cost Share Appropriated fund and 4010 is Grants & Contracts Restricted fund.

  2. Parent Department: Defaults to DEPTS, the top level departmental hierarchy. The parent department filter can be used to view results by hierarchy roll up values such as COAS, FOUN, VPFO. Refer to the Hierarchies for Reporting to view parent department roll ups.

A Parent Department is required when running the Account Analysis Dashboard.

It is not recommended to export the AAD with the DEPTS filter; update this filter to narrow your search.

  1. Department: Use this field to narrow the search by individual departments segments. The department selected in this field must roll up to the Parent Department selected. If results don’t generate, make sure you have the correct Parent Department.

  2. Cost Center: Defaults to all cost centers for the selected department(s). Leave the default as is or select the applicable cost center(s) to narrow the search results.

  3. Account: Defaults to all account segments for the selected department(s). Leave the default as is or select the applicable account(s) to narrow the search results.

  4. Project: Defaults to all project segments for the selected department(s). Leave the default as is or select the applicable project(s) to narrow the search results.

  5. Supplemental: Defaults to all supplemental segments for the selected department(s). Leave the default as is or select the applicable supplemental segments(s) to narrow the search results.

If needed, reference the All Segment Values report for a list of active departments, cost centers, accounts, projects and supplemental segments.

  1. Budget Type: Leave blank or select the applicable Budget Type to narrow search results.

    1. ADP: mid year permanent adjustments. These adjustments are only completed by OBP.

    2. CFD: carryforward. Carryforward is only submitted by OBP.

    3. ORG: original budget.

    4. OTT: one time adjustments (previously called one time transfers)

    5. PTT: permanent adjustments (previously called permanent transfers)
