Edit or View a Timecard for Another Employee

Important Note:

  • Supervisors can edit historical time cards and absences 30 days before the current date; if you need to edit a historical time card or absence greater than 30 days old, submit an HR ServiceNow Ticket.

Supervisors only have access to approve time cards or absences for employees with active assignments. If an employee is separated mid-payroll, please enter an HR ServiceNow ticket for support with entering, editing or approving time and absences.

When submitting a ticket to HR, include details about the hours, dates and time reporting codes that should be entered and approved on behalf of the separated employee so HR can process the request with accurate information.

Step 1: Log in to Bronco Hub and Access Team Time Cards

  1. Begin by signing in to Bronco Hub.

  2. Select My Organization from the navigation ribbon.

  3. Select Show More under Quick Actions.

  1. Navigate to the Time section and select Team Time Cards.

Use CTRL+F to search for actions like Team Time Cards.

Step 2: Enter Search Parameters to Locate Timecard(s)

  1. Search for timecards using any of the available search criteria.

    1. Enter the employee last name or employee ID in the search bar to search for an employee.

      1. Existing timecards for mployees who are direct reports to the line manager will be listed below.

    2. Update the Date Range critera to limit the results to a specific time frame or pay period.

    3. Search for timecards by Status to ensure all time is submitted and approved by the deadline.

    4. Enter the 5-digit Department ID to view employees from the same department. Locate department IDs in the All segment Values Report.

Step 3: Select a Timecard to View or Edit

Select the linked Period Start Date or select the checkbox next to the employee name and select the Actions button and either View or Edit from the drop-down menu.

  • The timecard will open for either viewing or editing purposees.

If you are unable to open the timecard by selecting the Period Start Date link (ex. the scrolling icon

continues to rotate), then use this workaround:

  • Select Additional Status to review the hours reported on the timecard

  • Approve the timecard (without opening it):

    • Select the checkbox next to the employee name

    • Select the Actions button

    • Select the intended action (ex. Approve) from the dropdown

Step 4: Edit Timecard

Any data entered by the employee into the timecard will populate when you open the timecard for review. Make edits as you see fit.

Assignment Number corresponds to the employees departmenet and Business Title, which autofill whent he Assignment Number is chosen. The Time Reporting Codes available are also based on the Assignment Number.

If the employee has multiple assignments, select the appropriate Assignment Number from the drop down list to update the Business Title and Department as needed. 

  • Time Reporting Code indicates the type of time entry (e.g. Hours Worked, Sick, Vacation.). To view Time and Absence Reporting Codes, consult the Bronco Hub - Time Reporting Code resource.

  • Business Title and Department corresponds to the employee role and department associated with the role. 

  • Enter or edit hours on the timecard by scrolling to the right until you reach the section of the timecard where each column is dedicated to a day in the pay period. Update the number of hours, as needed.

Always confirm you are entering hours on the correct line (row) with the corresponding Time Reporting Codes.

DO NOT ENTER anything in the Cost Center, Fund, Department, Supplemental and Project fields unless explicitly told to do so by your supervisor.

If your supervisor tells you to enter specific fund, department, cost center or project segments, follow these instructions below:

  • Select the icon to Show Additional Attributes (upper left, with two vertical lines with a bracket around a plus sign). Fund, Department, Cost Center, Supplement, and Project will appear as columns to the left of the date and quantity grid.

  • Enter the Fund, Department, Cost Center, Supplement, and Project as guided by your supervisor.

  • To re-hide the Fund, Department, Cost Center, Supplement, and Project columns, select the Hide Additional Attributes icon.

  • The default funding allowsl wages and fringe to be allocated to the assignment costing, which can be viewed in the Active Employee Funding & Pay Report. Entering anything in these fields on the timecard will override the assignment costing.

Work-study students can only work 20 hours per week using work-study awards and should never override costing on their timecard. If the student works more than 20 hours per week, hire them into two positions; one position that is work study funded and another that is non work-study funded.

Step 5: Add or Delete a Row in the Timecard (if needed)

  1. Insert a row, Duplicate a Row, or Detete a Row by right clicking on a row and then selecting the desired action from the drop-down menu.

If the employee has multiple assignments, select the appropriate job from the Assignment Number drop down list.

You must select an Assignment Number for each row in which you enter time details.

  1. If a row needs to be added to or delted from the timecard, double-click the Assignment Number field in the next available row and select the assignment from the dropdown. If an employee has multiple assignments, verify selection accuracy by reviewing the related Business Title and Department Name that populates after selecting the assignment.

  2. Select the Time Reporting Code dropdown and select the appropriate Time Reporting Code (eg Hours Worked, Sick, Vacation). To view Time and Absence Reporting Codes consult the Bronco Hub - Time Reporting Code resource.

If the desired Time Reporting Code is not displayed, use the scroll bar on the right side of the drop-down box to see all values or try typing the Time Reporting Code to get it to appear.

  1. Enter the number of hours under the appropriate dates for the time reporting code selected.

    1. Confirm you are entering hours in the row with the correct Time Reporting Code.

Step 6: Save and Close or Submit the Timecard

To save the timecard and stay on the same page, select the Save button. 

To save and close the timecard, select the Actions dropdown arrow and select Save and Close.

To submit, select Actions and then Submit from the dropdown.  

 

 

 

Step 7: Approve the Timecard

  1. To approve the submitted timecard, access

    1. Select My Organization from the navigation ribbon.

    2. Select Show More beneath Quick Actions.

    3. Scroll to the Time section.

    4. Team Time Card.

    Easily approve by selecting the checkbox next to the employee’s name.

    Select Actions and then select Approve.

    Alternatively, the submitted timecard will be routed to the approver and can be approved via email and notifications in Bronco Hub.

What’s Next

  • The approved time card will route to Payroll for processing.

  • Any saved time cards must be submitted in order to route to Payroll.
