Access Approval Workflow for Submitted HR Actions and Financial Transactions

Important Notes:

  • The Transaction Console is used to investigate the approval status of submitted financial transactions and HR Actions. HR Actions include hires/rehires, salary changes, data changes and more. Financial transactions include expense reports, requisitions, invoices, etc

  • Action details do not display in the console; for example, you can use the transaction console to confirm a new hire was submitted, but you will not be able to see the new hire's details like pay rate, start date, etc. You can see the name of the employee that was transacted on, the transaction that was submitted, when it was submitted, who submitted it and approval information.

  • Within the console, you will see transactions submitted by employees in your assigned area of responsibility (AOR) for departments you have manager self service access to. If you should have access to departments that aren’t listed in your search view, submit an OCI Service Request with details about what’s needed.

Step 1: Login to Bronco Hub and Access the Transaction Console

The instructions below outline the process to follow up on HR actions and financdial transactions entered into Bronco Hub. If you’re searching for something else, reference the links below:

  1. Begin by signing in to Bronco Hub.

  2. Select Tools from the top navigation section of Bronco Hub and then select Transaction Console.

The Transaction Console is available to employees responsible for completing transactions on behalf of their college and have been assigned the Business Administrator role in Bronco Hub. If you do not have access to the console, your supervisor should submit a request using the Access Request form.

Step 2: Locate Action(s) Using a Filter (e.g. Status, Name, Submitted by, Assignese or Date)

  1. To search for all actions by Status, select the Status filter beneath the search bar and select either “Completed”, “Draft”, “Failed” or “In Progress” from the dropdown.

  1. To search for transactions by a specific employee, select the correct filter from the options below the search bar:

    1. Name: Search by the name of the employee being transacted upon

    2. Submitted By: Search by the name of the employee who submitted the transaction

    3. Assignees: Search by the name of the person who is currently assigned to take action in the approval workflow.

  2. If needed, filter by the Creation Date Range.

    1. Enter a From Date and a To Date using the format MM/DD/YY or select the date from the calendar icon in the date field.

Step 3: Access Transaction Information

  1. After searching for a transaction by one of the filters, the transaction manager will load with the following information:

    1. Name: Name of employee being transacted upon.

    2. Process Name: The type of transaction (e.g. salary change) submitted for the employee named.

    3. Status: Indicates the status of the transaction. A checkmark indicates the transaction is complete. In Progress Transactions are indicated by a clock symbol.

    4. Assignees: If the transaction is In Progress, this column will display the names of the approvers.

    5. Submitted By: Name of the employee that submitted the transaction.

    6. Submitted On: Date the transaction was submitted.

If the transaction is progressing through the approval workflow, a name will appear in the Assignees column for that transaction. If multiple approvers are listed, only one person needs to take action to move the transaction forward for processing.

  1. To view approval workflow information, select the name of the transaction, which is a hyperlink.

  1. A new screen will appear with Approval History and any Comments and Attachments associated with the transaction.

Important notes about the Actions button (the three dots):

  • If you are the Approver on the transaction, you will be able to approve\reject from Approval History page. Select the three dots […] at the top of the page and then select either Approve or Reject from the actions dropdown. You may also vist the Worklist or notification bell to take assigned actions.

  • If you are not an assigned Approver, the three dots will not appear on the page; you can take no action.

If BOISE_STATE_HR_APPROVER_JOB_ROLE is listed as an approver, it means the transaction had routed to the HR Processing Team to claim and process the request. Once an HR Processor claims and takes action, Bronco Hub will update “BOISE_STATE_HR_APPROVER_JOB_ROLE” to display the name of the HR Processor.
