Submit a Single Payables Correcting Entry Request
Important Notes:
Payables Correcting Entries are submitted to correct payables transactions like invoices processed through Procurement and Vendor Services including invoices applied to a purchase order (PO), internal payments, and PCard transactions.
If you need to correct more than one payables transaction, submit a Multiple Correcting Entry Request.
Visit the Correcting Entries Matrix for guidance to correct other activity like payroll or Accounts Receivable transactions.
Step 1: Access the Campus Transaction Dashboard for Payables
Navigate to the My Organization tab within Bronco Hub and select Boise State Reporting.
Locate the Payables - Campus Transaction Dashboard Report in the Budget & Finance section and launch the dashboard. For step by step instructions on running the dashboard, follow the instructions in the Payables - Campus Transaction Dashboard job aid.
Step 2: Locate transaction details
Locate transaction numbers for the entries in need of correction within the Payables - Campus Transaction Dashboard. Keep the dashboard with your transaction information open while
You will need the Transaction (Invoice) Number, Invoice Line Number, Net Amount, Accounting Date, and the original funding string for the transaction you are correcting.
If the transaction you would like to correct does not have a transaction number, you’ll need to Submit a Journal Entry.
Keep the Payables - Campus Transaction Dashboard open so that you are able to copy and past directly from the Payables dashboard into the Correcting Entry Request form in the next step.
Step 3: Complete the Correcting Entry Request form
Open the Correcting Entry Request Smartsheet form.
Complete the Preparer Information section by entering your name and email address and selecting your department from the Preparer Department drop down menu.
Input the Transaction (Invoice) Number, Invoice Line Number, Accounting Date, and the complete original funding string by copying and pasting from the Campus Transactions Dashboard Payables Report.
Enter the Net Amount.
If the correction is project related, select the checkbox indicating that the transaction is using a project segment.
To copy from the Payables dashboard, select the cell you want to copy and select Ctrl + C on your keyboard. To paste the value into the Correcting Entry Request form, select the applicable field and select Ctrl + V.
Step 4: Enter Updated Transaction Information
Enter only the funding segments which need to be corrected for the transaction in the Updated Fund, Updated Department, Updated Cost Center, Updated Account, Updated Supplemental, and Updated Project fields.
If the correction is project related, enter the Updated Expenditure Item Date.
If relevant, enter an Updated Line Description.
Step 5: Complete the Justification fields and Submit the form
Complete the Justification fields:
If the correction is not project-related, enter the business purpose of the correction in the Non-Project Justification field.
If the correction is project-related, complete all Project Justification fields.
Select the checkbox indicating that the request has been approved by all required parties if correct.
If the transaction needs to be processed before month end, select the corresponding check box.
Upload an relevant file attachments. If additional documentation is required by your department, it can also be uploaded here. For project-related corrections, proof of PI approval is required to be attached.
If your departmental business process is to notify additional participants when a correcting entry is submitted, enter their Boise State email(s) in the notification field(s) labeled Who else should be notified regarding this request? (Optional). These individuals will receive a notification email once the transaction is submitted, if there are changes made, and if the correction is approved and posted.
Select Submit.
What’s next:
Upon submission, you will receive a tracking number via an email notification and the form will be routed to Procurement and Vendor Services for processing. Once they receive your request,it will be assigned a tracking number. You can track your submission using the tracking number provided in the notification on the UFS Request Tracker which is located on the Procurement and Vendor Services site.
Once the correction is complete, you’ll receive a completion notification.
