Important Notes

  • Salary changes can be submitted for faculty, staff and all student employees

  • For all employees besides temporary, students, and adjuncts, you must submit Staff Position Action Request form before submitting in Bronco Hub to obtain approval for the salary change.

  • For students and temporary employees, please review student classifications and pay grades.

  • When changing an employee’s salary, you will need to calculate their hourly rate using the Hourly/Salary/Fringe Calculator.

  • Salary changes must have an effective date of the beginning of a pay period (Sunday). If a salary change is submitted with a mid pay period effective date, it will be rejected by HR. The final approval for the submitted action must be completed by the Thursday before payday in order for HR to process the request by the effective date.

    • The exception to the pay period start date requirement: If the action effective date is the same as the hire date, because the hire date does NOT have to occur at the start of a pay period, the request will be approved. In the Comment section, please include the message: “Effective Date is not the start of a pay period, however, it is the Start Date of the position.

Confirm the request details are accurate before you submit a salary change.

Submitted salary changes cannot be edited. If a salary change is submitted incorrectly, you will need to withdraw and resubmit a new one.

Step 1: Log in to Bronco Hub and Locate the Employee

  1. Begin by signing in to Bronco Hub.

  2. Locate the employee. There are two ways to locate an employee:

    1. If the employee reports to you select My Team from the top navigation section of Bronco Hub. And select the My Team icon. Locate the employee in the Workers section of the page. Select Actions to the right of the employee name and select Change Salary from the drop-down list.

    2. If the employee does not report to you, select My Organization from the top navigation section of Bronco Hub. Select Show More. Select Change Salary located below the Compensation section. Use CTRL+F to search for Change Salary from the list of all items.

      1. In the Change Salary window, search for the employee by typing the employee name, email or Employee ID in the Search field. Select the appropriate employee name from the drop-down.

Step 2: Enter Salary Change Information

  1. In the When and Why section, enter the following information:

    1. When does the salary change start? Enter the effective date of the salary change. Salary changes must have an effective date of the beginning of a pay period (Sunday). Check out the current Payroll Schedule for pay period dates.

    2. The exception to the pay period start date requirement: If the action effective date is the same as the hire date, because the hire date does NOT have to occur at the start of a pay period, the request will be approved. In the Comment section, please include the message: “Effective Date is not the start of a pay period, however, it is the Start Date of the position.”

    3. What’s the action name? Change Salary

    4. Why are you changing the salary..? Select the action reason that was included in the Compensation and Classification approval email.

  2. Then select Continue.

Step 3: Enter Salary Information

  1. In the Salary section, enter the Salary Basis and the Hourly Rate.

The adjustment amount and adjustment percentage fields will update according to the information entered in the fields.

  1. Select the Salary Basis. Select the applicable option from Hourly, Pay Per Unit, Prorated Hourly, Prorated Salary, or Salaried.

  2. Select the Hourly Rate. Input the calculated hourly rate for the employee. Please note, it must fall within the salary range shown on the page which is based on the pay grade and job. Use the Hourly / Salary / Fringe Calculator to help calculate the rate.

  3. Select Continue.

Step 4: Enter Comments and Attachments

  1. Add any applicable comments and attachments to the request. Please check with your department’s business manager for any required comments or attachments.

  2. If applicable , attach the approved Compensation & Classification form.

If you need to make change the funding source along with a salary amount, you must submit the Employee Costing Change form.

Step 5: Review Salary Change Details and Submit Request

Select the Edit icon on any section to expand the section and view details.

After reviewing and verifying any salary change details entered, select Submit at the top of the page.

What’s next:

The submitted request will route through the approval workflow (details below).

What options do I have to edit the request after it’s been submitted?

Submitted salary changes cannot be edited. If a salary change is submitted incorrectly, you will need to withdraw and resubmit a new one.

Once submitted, the salary change request will route to the following:

  1. The line manager (supervisor) of the employee being transacted upon.

  2. The funding source manager(s) for the employee assignment home department/HR Department. Example, employee has a job in Athletics, the home department of the employee assignment is 97400

  3. Graduate College if the transaction includes job codes: 49120, 49110, 49111, 49181, 49180

  4. Human Resources

  5. College / Division is the last approval

  6. Provost if the person being transacted upon is faculty

If other individuals need to be included in the approval workflow (e.g. Principal Investigator for grant funded transactions) the funding source manager must add the PI approver as an AdHoc action.

Important Note: If the employee being transacted upon is not a faculty member, the name of the initiator will display as the last approver in the approval workflow. The initiator does not need to approve the transaction, Bronco Hub will automatically approve after all other approvals have been completed.

How can I follow up on the status of the request once it’s submitted?

The action initiator (submitter) can follow up on (e.g. view approval information) the submitted action by locating it in the initiated tasks section of the Worklist.
