Important Note:

  • Supervisors can edit historical time cards and absences 30 days before the current date; if you need to edit a historical time card or absence greater than 30 days old, submit an HR ServiceNow Ticket.

Note

Supervisors only have access to approve time cards or absences for employees with active assignments. If an employee is separated mid-payroll, please enter an HR ServiceNow ticket for support with entering, editing or approving time and absences.

When submitting a ticket to HR, include details about the hours, dates and time reporting codes that should be entered and approved on behalf of the separated employee so HR can process the request with accurate information.

Step 1: Log in to Bronco Hub and Access Team Time Cards

  1. Begin by signing in to Bronco Hub.

  2. Select My Organization from the navigation ribbon.

  3. Select Show More under Quick Actions.

Step 2: Enter Search Parameters to Locate Timecard(s)

  1. Search for timecards using any of the available search criteria.

    1. Enter the employee last name or employee ID in the search bar to search for an employee.

      1. Existing timecards for mployees who are direct reports to the line manager will be listed below.

    2. Update the Date Range critera to limit the results to a specific time frame or pay period.

    3. Search for timecards by Status to ensure all time is submitted and approved by the deadline.

    4. Enter the 5-digit Department ID to view employees from the same department. Locate department IDs in the All segment Values Report.

Step 3: Select a Timecard to View or Edit

Select the linked Period Start Date or select the checkbox next to the employee name and select the Actions button and either View or Edit from the drop-down menu.

If you are unable to open the timecard by selecting the Period Start Date link (ex. the scrolling icon

continues to rotate), then use this workaround:

  • Select Additional Status to review the hours reported on the timecard

  • Approve the timecard (without opening it):

    • Select the checkbox next to the employee name

    • Select the Actions button

    • Select the intended action (ex. Approve) from the dropdown

Step 4: Edit Timecard

Any data entered by the employee into the timecard will populate when you open the timecard for review. Make edits as you see fit.

Note

Work-study students can only work 20 hours per week using work-study awards and should never override costing on their timecard. If the student works more than 20 hours per week, hire them into two positions; one position that is work study funded and another that is non work-study funded.

Step 5: Add or Delete a Row in the Timecard (if needed)

  1. Insert a row, Duplicate a Row, or Detete a Row by right clicking on a row and then selecting the desired action from the drop-down menu.

  1. Enter the number of hours under the appropriate dates for the time reporting code selected.

    1. Confirm you are entering hours in the row with the correct Time Reporting Code.

Step 6: Save and Close or Submit the Timecard

To save the timecard and stay on the same page, select the Save button.

To submit, select Actions and then Submit from the dropdown.  

Step 7: Approve the Timecard

  1. To approve the submitted timecard, access

    1. Select My Organization from the navigation ribbon.

    2. Select Show More beneath Quick Actions.

    3. Scroll to the Time section.

    4. Team Time Card.

    Easily approve by selecting the checkbox next to the employee’s name.

    Select Actions and then select Approve.

    Alternatively, the submitted timecard will be routed to the approver and can be approved via email and notifications in Bronco Hub.

What’s Next

  • The approved time card will route to Payroll for processing.

  • Any saved time cards must be submitted in order to route to Payroll.
